Main Purpose: The successful applicant will be responsible for the smooth running of our Copenhagen office consisting of 8-12 persons. The role is divided into 2 parts: Reception and Office Management support functions
Core duties include: • managing the Reception Desk; • arranging and maintaining office facilities;
This role is for someone keen to take on a varied and interesting role within a fast moving and dynamic company. It is important to note that the role requires a hands-on, flexible approach.
Knowledge Skills and Abilities, Key Responsibilities:
Knowledge, Skills and Abilities • Fluent in Danish and English • At least 3 years of relevant working experience in a reception or administration department; • Strong knowledge of MS Office Suite and online resources essential
Key Responsibilities Responsibilities include but are not limited to:
Reception • Responsible for welcoming visitors • Coordinate meeting room bookings • Answer and forward switchboard phone calls • Handle mail and couriers
Office Administration • Maintain the office and arrange necessary repairs • Liaise with building management • Manage the cleaning company to ensure high cleaning standards are maintained • Manage office consumables • Handle the Office Management budget and invoices • Manage mobile phone subscriptions and devices
HR related matters • Handle the induction of new colleagues (equipment, IT login details, swipe card, parking arrangements, etc.) • Coordinate office holiday calendar and reporting to Denmark HR
Local IT Coordination • Helping distribute IT equipment as needed • First contact for IT infrastructure troubleshooting (working under IT team instructions)
Health and Safety • Implement effective H&S policies • Organise training and follow up of Emergency Response Officers • Manage annual evacuation drill
